New Attendance Confirmation Process for 2017

The changes to the seniority system that took place in 2016 seemed to have accomplished my goal of rewarding frequent attendees while allowing others to attend at least one session a year.

Unfortunately with the new signup process I had two sessions where I could not field a full crew of eight. One session I ran, the other I canceled. The problem seems to be the result of a high number of cancellations during the session confirmation process and the Extra Board slots not being available when called.

As well as resulting in two session without full crews, it also prevented some that had signed up from being able to attend since they were notified at the last minute and had already made alternate plans.

So to try and keep this from happening in 2017 the following changes are being made to the confirmation process:

1. The current ten day advanced confirmation notification is being moved out to fourteen days.
2. The current five day response window is being shortened to three days.
3. The confirmation notification process, that was only being sent to the Call Board entries will now also be sent to the Extra Board entries and like the Call Board a non response within the three day response window will result in being removed from the Extra Board.

Hopefully this will advance the confirmation of all attendance and provide enough of a lead time for those on the Extra Board to still be available when needed.
